Trusts and Foundations Coordinator - Foundation
Ongoing, Full-time or Part-time 0.8 FTE role with hybrid working arrangements (2-3 days in office) 
 
ABOUT THE ROLE:
The Trusts and Foundations Coordinator will support the Peter MacCallum Cancer Foundation’s philanthropic objectives and contribute to the achievement of the Peter MacCallum Cancer Centre’s key priorities by assisting in securing philanthropic support from trusts, foundations and ancillary funds. 
You will work closely with the Trusts and Foundations Manager to develop high-quality grant submissions and proposals, researching prospective funders, managing grants, and coordinating donor stewardship activities—including written reports, donor visits, and meetings with researchers—to foster long-term donor relationships.
 
ABOUT YOU
You will bring to the role:
•    Highly developed, engaging, and professional written and verbal communication skills, with expertise in philanthropic grant submissions, proposal development, report writing, and stakeholder management.
•    Proven track record of success in securing philanthropic funding, including expertise in prospecting, researching, cultivating, and stewarding donor relationships through a moves management approach.
•    Understanding of fundraising principles, with a particular focus on structured giving, and a keen insight into the motivations that drive philanthropic giving.
•    Strong relationship, networking and communication skills and proven ability to develop productive, results-focused relationships.
•    Demonstrated partnership development skills and ability to identify and secure new prospects.
•    Excellent verbal communication and interpersonal skills, including the ability to negotiate, be persuasive, develop trust and maintain effective working relationships.
 
Remuneration starting from $74,498.40 to $82,305.60 + super + salary sacrificing. To be discussed further with the Hiring Manager.

Position Summary

The Trusts and Foundations Coordinator is a key member of the Philanthropy Team at the Peter MacCallum Cancer Foundation (the Foundation), responsible for supporting the strategic direction of the Trusts and Foundations program. This role directly supports the Foundation's fundraising objectives, contributing to the achievement of the Peter MacCallum Cancer Centre’s (Peter Mac) key priorities by assisting in securing philanthropic support from trusts and foundations.

 

Working closely with the Trusts and Foundations Manager, this role is actively involved in developing high-quality grant submissions and proposals, researching prospective funders, managing grants, and coordinating donor stewardship activities—including written reports, donor visits, and meetings with researchers—to foster long-term donor relationships.

 

Key responsibilities include identifying and cultivating relationships with new and existing donors, ensuring effective grants management, and providing ongoing stewardship to maintain strong philanthropic partnerships. This role contributes to income growth while upholding the highest standards of transparency, ethical fundraising, and accountability, in alignment with Foundation policies and the Fundraising Institute Australia (FIA) Code of Conduct.

Skills

Essential Requirements  

Experience:

  • Tertiary qualification or equivalent education and experience, with a focus on communications preferred.
  • Minimum two years’ experience in a similar grant or tender writing role or transferable skills from a similar role.
  • Proven track record of success in securing philanthropic funding, including expertise in prospecting, researching, cultivating, and stewarding donor relationships throughout the donor journey cycle.
  • Understanding of fundraising principles, with a particular focus on structured giving through charitable foundations, and a keen insight into the motivations that drive philanthropic support.
  • Experience working in the philanthropic not-for-profit, or for-purpose sectors, or with similar mission-driven organisations.

 

Skills:

  • Highly developed, engaging, and professional written and verbal communication skills, with expertise in philanthropic grant submissions, proposal development, report writing, and stakeholder management. 
  • Strong relationship-building skills, based on excellent interpersonal communication.
  • Excellent grant management experience with the ability to manage multiple activities at any given time.
  • Strong analytical skills with the ability to interpret complex information quickly, respond flexibility to change, and revise plans when outcomes are not being achieved.
  • Ability to work strategically, independently and pro-actively while also managing your own time well, keeping others informed of progress, and meeting deadlines.
  • Highly motivated, sound judgement and proactive approach to problem solving.
     
Desirable Requirements  
  • Knowledge of Blackbaud CRM.
  • An interest in cancer research and patient care and an ability to work within cancer health guidelines.
  • Previous knowledge or experience of the health sector within Australia.

1. Donor Engagement and Grant Lifecycle Management 
  • Assist in cultivating new prospects and building relationships with funders, aligning their interests with priority projects and opportunities that support Peter Mac.
  • Support the management and nurturing of ongoing relationships with Trusts and Foundations to ensure sustained engagement.
  • Identify and evaluate potential funding opportunities, working closely with key stakeholders to gather the necessary information for funding submissions and creating compelling proposals, reports, and communications.
  • Ensure timely submission of formal funding applications and the completion of acquittals to meet all deadlines.
  • Foster strong, positive, and professional working relationships within the Foundation team and with the broader Peter Mac staff, ensuring smooth collaboration.
  • Contribute to the continuous enhancement of the donor experience and journey, collaborating with the wider Foundation team to enhance engagement strategies.
  • Support the ongoing identification and cultivation of new philanthropic funders using prospecting tools, ensuring an active pipeline of opportunities.
2. Program Administration
  • Capture and record accurate, high-quality donor information in the customer relationship management (CRM) database for effective grants. management, including donor correspondence and all interactions across the donor journey cycle—from initial prospecting to cultivation, stewardship, and ongoing engagement.
  • Process donor enquiries and requests for information from Trusts and Foundations.
  • Track progress of T&F Program activities, to contribute to reporting to the Head of Philanthropy, Chief Executive and Board, as required.

3. Team Participation
  • Contribute to overall Foundation fundraising strategy development and donor service delivery.
  • Work as a positive and contributing member of the Philanthropy and broader Foundation team.
  • Work closely with other fundraising programs, as required, to ensure the best donor experience for donors giving across multiple programs.
4. Other Duties
  • Understand and comply with all relevant legislation and Peter Mac and Foundation policies, procedures and legislative requirements.
  • Attend, participate and contribute to relevant professional development and training opportunities.
  • Support the Philanthropy and Fundraising teams during functions or events, as required.
  • Undertake other duties, which are appropriate to the level of the position.
