Storeperson Advance - Procurement

  • Ongoing, full time position
  • 80 hours per fortnight with monthly ADOs

About the role

The Storeperson Advance role is responsible for all activities in the loading dock and supply store. Reporting to the Loading Dock Manager, this includes daily imprest counts, goods receipting and delivery to desigated areas.

 

About you

The successful candidate will have excellent communication skills and a friendly manner. Ideally, holding a forklift license whilst experience in health is desirable.

Position Summary

Daily Imprest counts and uploading of the file to Health Share Victoria (HSV).

Receipting of all goods, including Imprest, supplier direct deliveries, HSV deliveries as well as  to user departments.

Internal Ability to liaise with Peter Mac staff at all levels, including procurement, supply, administration, finance, general medical and nursing, allied health staff and senior management as required.

Imprest

  • Maintain/add barcode labels & tags for imprest items at ward level and stores. 
  • Ensure stock rotation of stores stock to avoid shelf life expiry of stock held.
  • Download barcode reader on arrival into Stores.
  • Barcode scan all imprest items for replenishment.
  • Correct any errors on file and reload if required.
  • Unpack and store all imprest items at ward area.
Inward Deliveries
  • Storeman to escort non-inducted couriers to departments for all specimen, pathology, and pharmaceutical deliveries.
  • Check the condition of shipment (boxes, cartons, bottles etc) before accepting goods.
  • Do not accept goods that are delivered in broken boxes/cartons/bottles.
  • Goods to be taken in to loading dock store for receipting.
  • Goods received are in accordance with relevant purchase orders in Oracle.
  • Goods receipts are recorded correctly in Oracle and in a timely fashion.
  • Receipt errors are corrected in Oracle.
  • Goods received without purchase order details in Oracle, are to be forwarded to the Purchasing Officer for immediate action. 
  • Ensure purchase order details in Oracle matches delivery documentation.
  • Oracle Delivery docket placed with each item for dispatch. 
  • Ensure supplies and goods are delivered to customer departments within 24 hours of receipt of goods. 
  • Discrepancies on delivery docket must be followed up with the supplier and corrected.
Refrigerated Items
  • All items received must be checked against an invoice/packing slip.
  • All items must be receipted in to the Oracle system against receipt function with correct unit of measure, quantity and supplier part number.
  • All refrigerated, temperature sensitive goods receipted must have a duplicate Oracle delivery docket attached which is to be signed for by end user. 
  • Signed delivery dockets to be returned to loading dock.
  • All refrigerated items must be delivered internally within 3 hours of receipt in loading dock.
  •  All delivery dockets, invoices and travellers to be scanned and stored in Contracts and Facilities file for reference if required.

Outward Goods

• Ensure credit notes and goods return advices are attached to goods for return to suppliers.  
• Goods are repacked to ensure no damage during transportation.
• Correct freight dockets are completed for pickup by courier if required.
• Satellite deliveries are to be goods receipted as per process then prepared for distribution to appropriate site, including appropriate documentation.
Teamwork • Other duties associated with maintaining the ongoing effective operation of the Loading Dock Store to be undertaken and completed as required.
• Other duties as required including support to the mail room.
