People Hub Functional Specialist
 

  • Ongoing, Full-Time position 
  • 80 hours per fortnight with Monthly Accrued Days Off

 

The People Systems Team sits with People and Culture and is responsible for enhancing, maintaining and supporting the SuccessFactors HRIS modules and EC Payroll. Our small team is collaborative and supportive, working closely with Employee Relations and Payroll teams.

  • Strong technical understanding and hands-on experience with SuccessFactors EC, Recruiting and Onboarding

Remuneration under the Enterprise Agreement 2024-2028 will be from $110,000 to $130,000 per annum for full-time dependant on candidate. To be discussed with Hiring Manager.

Position Summary

The People Hub Functional Specialist is responsible for the functional administration, maintenance and support of People Hub (HRIS - SuccessFactors) and its service to our key stakeholders – including employees, managers, People & Culture and Payroll in accordance with business needs.

This role supports all HRIS modules (including Employee Central, Recruitment, Onboarding/Offboarding) and works collaboratively with Payroll System Functional Specialist/s to ensure end to end system solutions

The role provides system support to existing processes, solution development, configuration and implementation of system functionality that reflects best practice.

This position helps to define business problems via in-depth investigation and gathering of technical and non-technical information. The Functional Specialist outlines detailed requirements for solution and ensures the delivered solution meets the specified requirements.

1. System maintenance, design & continuous improvement • Collaborate with internal stakeholders to identify, scope, and test system improvements and enhancements to maximise the full potential of the HRIS
• Evaluating business processes, anticipating requirements, uncovering areas for improvement, and developing and implementing solutions, ensuring solutions meet business needs and requirements
• Understands operational and strategic priorities when providing advice on design and build of the SuccessFactors modules and processes, whilst ensuring a focus on providing the best employee experience
• Proactively communicates and collaborates with internal stakeholders to analyse information needs and functional requirements and deliver the following artefacts as needed: business requirements, functional requirements, user cases, interface designs, test plans and test cases
• Follows change and enhancement request procedures ensuring approvals, documenting proposal and change requests and developing project plans (including objectives, outcomes, risk assessment and timeframes for delivery.
• Conducts thorough system/ user acceptance testing as required with change requests, new configuration, system releases/upgrades
• Ensures timely system administration to support key operational activities

2. System Partner Relationships
• Work collaboratively with 3rd party vendors (such as SAP/SuccessFactors and Deloitte (AMS) with regards to incident and enhancement requirements
• Works closely and collaboratively with the Payroll Systems Functional Experts / Analysts in ensuring any end-to-end system processes are maintained or developed and tested thoroughly before being implemented
• Works closely with other organisational systems experts (Active Directory, Microsoft product owners, Learning Hub) to ensure system integrations/interfaces are maintained and/or any People Hub changes are tested for downstream impacts
3. Customer Support & Training • Provide support and guidance to privileged users (People and Culture, Payroll, Nursing Workforce Unit, Managers etc.) in troubleshooting People Hub related defects and issues
• Solves complex workflow and notification issues in People Hub
• Create and update People Hub guides in line with system enhancements/changes and/or stakeholder feedback 
• Update workbooks or other relevant documentation. Document/ update business processes/ maps, training manuals, and quick reference guides
• Build sustainable relationships of trust through open and interactive communication
• Provide accurate, valid, and complete information/advice by using the right methods/tools (e.g., policies, procedures, Enterprise Agreements)
• Collaborate with People and Culture teams to capture improvements to People Hub training and support to improve quality of the service

• Provides end user support and training on use the reports available in People Hub including how to edit or maintain filters 
• Create and run ad hoc reports from People Hub as requested 
• Uses system reports to provide analysis in system maintenance and auditing requirements
