Fixed Term, Full Time Role

 

This full time, fixed term parental leave cover role will see the successful applicant join a friendly and enthusatic team within the Pathology department at Peter Mac.

Our ideal applicant will have experience in administration within a medical or pathology setting, be a confident user of a variety of IT systems, have well developed interpersonal skills and be able to work efficiently and collaboratively in a dynamic environment. 

 

The Pathology Administration department at Peter Mac provides a wide range of support to Medical and Scientific staff through the provision of services such as:

  • Entry of patient details and requests into the laboratory information system
  • Word processing
  • Retrieval of diagnostic material
  • Audio typing
  • Record keeping and filing
  • Mail management
  • Telophony
  • Calendar management
  • Meeting support, incl minute taking 

 

 Salary range between $66,768.00 to $73,811.92 depending on experience
Victorian Department of Health has a program of reforms across the public pathology system in Victoria.
As part of these reforms, the pathology services from the Royal Melbourne Hospital, Peter MacCallum Cancer Centre, the Royal Women’s Hospital and the Royal Children’s Hospital are being considered for transition to a new style of service within Local Area Networks. The new model for delivering public pathology services will present an exciting opportunity to improve the scope, scale and reach of pathology services and testing capability to all Victorians. As this role is with Parkville, the successful candidate for this role will be initially employed by Parkville. However, this position and the successful candidate’s employment (including terms and conditions of employment) may be subject to a transition as part of this reform agenda. Position Summary

Provision of high quality administrative services within the Department of Pathology including: 

  • Provide admin support to departmental diagnostic services. 
  • Provide word processing, audio-typing, filing, diary management and other record keeping services. 
  • Provide support for Departmental meetings including helping to set up virtual Teams and Zoom meetings and recording/typing minutes. 
  • Calendar management for Director of Pathology 
  • Assistance with departmental mail distribution and timesheet management. 
  • Fast and accurate data entry of patient information into pathology laboratory system. 
  • Answer telephones and queries at the Admin window. 
  • Filing and retrieving of slides
  • Stationery ordering for department
  • General administrative tasks as required

  • Demonstrable experience in MS Office products, Internet, Teams and Outlook. 
  • Demonstrable experience with hosting Zoom meetings. 
  • Demonstrable experience in minute-taking. 
  • Demonstrable abilities to work effectively within a multidisciplinary clerical team. 
  • Professional approach to patient pathology service confidentiality. 
  • Appropriate skills in communication. 
Desirable Requirements 
  • Experience with calendar management and booking meetings.

1. Provide meeting support for departmental meetings

Scheduling and management of various departmental meetings including the setup/creating of virtual meetings, booking of rooms, managing agenda, minute taking, in-meeting support and distribution of minutes.

2. Provide timely and responsive administrative support for department including
Diary management andamp minute- taking for department meetings.
Screening incoming telephone calls and answers telephone enquiries.
Works as part of a team.
Roster and leave management.

Management of Pathology Directorandrsquos calendar, scheduling meetings, responding to queries etc
Accurate transcription and dissemination of meeting proceedings.
Ensures phones are covered at all times and refers calls appropriately.
All tasks completed within appropriate and specified time frames.
Helps other staff when required and is teamandndashoriented.
Applies hospital and divisional procedures and policies in all dealings.
Manages presentation and fridge cleaning rosters, and leave schedules

3. Database entry of patient requests/information into pathology laboratory system.

Prompt and accurate data entry. Uses relevant pathology-related programs, packages and functions to keep track of and complete tasks effectively and efficiently.

4. Distribution/collection/collation of timesheets for specific departmental groups

Timely distribution of timesheets and collection of same for collation, authorization and submission.

5. Maintenance of filing systems, general departmental filing and specimen slide filing.

Accurate filing of records/slides to facilitate fast retrieval.
