About the role

In this role you will lead and oversee the day-to-day management of the People and Culture (P&C) Operations team. The team provide first level HR operational and transactional support to managers and staff whilst also triaging a range of general HR enquiries to relevant P&C stakeholders.  
 

Key responsibilities will see you:

  • Provide direction and oversight to the P&C Operations team to optimise performance, driving operational excellence and providing a consistent centralised service
  • Collaborate with Employee Relations and Business Partners team, People Systems team and Payroll and Finance, to continue to shape, embed and manage the P&C Operations service delivery model, whilst maximising the employee experience as a contribution to creating the best cancer workforce
  • Act as a supportive and inspiring leader who fosters an inclusive and safe space, where everyone has a sense of belonging

Position Summary

The position is responsible for leading and overseeing the day-to-day management of the People and Culture (P&C) Operations Team. The P&C Operations Team provide first level HR operational and transactional support to Managers and staff whilst also triaging a range of general HR enquiries to relevant People and Culture stakeholders.

Essential Requirements
  • Tertiary qualification(s) in Human Resources (or related field)
  • Previous experience in leading a team to drive organisational outcomes
  • Extensive experience in HR Operations or Shared Services environment
  • Understanding of legislative and industrial obligations in relation to best practice HR policies and procedures
  • Strong internal customer service background and a focus on creating positive employee experiences
  • Demonstrated in-depth knowledge of HRIS and business processes and procedures, and experience of both the front and back end of: SAP -Success Factors and other HR systems.
  • Understanding of the impact of payroll and links to the financial and other systems
  • Vision, leadership, innovative thinking and a commitment to continuous improvement in the way services are delivered to current and prospective staff
  • Strong relationship and network building skills, with the ability to consult, negotiate and influence
  • Excellent writing and presentation skills including a demonstrated ability to prepare documents using clear and concise language, to organise information logically and include content appropriate and adaptive for purpose and audience
  • Highly developed organisational, planning and problem solving skills, including a proven ability to meet deadlines

1. P&C Operational Service Delivery and improvement
  • Develop and manage a high performing P&C Operations team, ensuring customer service metrics are aligned to operational requirements
  • Ensure the P&C Operations team is delivering timely and accurate responses to people related queries and requests, leveraging technology platforms for increasing  team efficiency and a focus on data integrity in core people systems to enhance the customer experience
  • Manage escalated service related issues and partner with the business to deliver excellent customer service through troubleshooting, root-cause analysis, issue resolution recommendation and implementation
  • Engages stakeholders in the development and implementation of a continuous improvement plan that achieves both efficiencies and improvements in the way our current and prospective employees experience their interactions with the People and Culture team
  • Continue to develop process documentation and workflow mapping for all core people processes and creation of standard operating procedures including end user guidelines, ensuring they are well maintained and communicated
  • Build and manage relationships with key stakeholders, ensuring ongoing operational and strategic communication occurs and stakeholders are kept abreast of changes to processes and practices

2. Leadership and People Management

  • Ensure new staff in P&C Operations team are inducted and trained efficiently
  • Establish effective KPIs for P&C Operations team and assess performance against these indicators
  • Responsible for managing all aspects of service delivery of P&C Operations team including operational requirements, job rotations, performance and metrics reporting, leave management and risk and compliance
  • Provide guidance and performance feedback to team, including conducting probation and annual performance development and planning

3. Risk & Governance

  • Ensure all HR Operational decisions are consistent with legislative and industrial requirements
  • Develop and maintain strong internal audit and risk management processes ensuring key risks are identified and appropriate mitigations are in place
  • Undertake regular audits and controls to ensure compliance and integrity of people data by updating operational dashboards, data integrity scorecards and provide reports in a timely manner to key stakeholders
  • Produce regular reports for the P&C teams to ensure compliance with HR operational matters
  • In conjunction with the Manager, People Systems & Reporting, provide managers and P&C with timely and accurate reporting regarding P&C operational activity (including but not limited to; recruitment, fixed term contract and visa expiry reporting, workforce demographics)
  • Maintain a keen awareness of the impact of P&C operational processes on other areas of Peter Mac in order to keep abreast of business requirements
  • Partner with Employee Relations Manager and Business Partners to expand knowledge and understanding of employment legislation and procedural approaches to guide the P&C Operations team to document employment contracts and other documentation as required
  • Maintain appropriate confidentiality by ensuring all staff within P&C Operations team do not reveal to any person or entity any confidential information relating to employees, policies and dealings, also ensuring those staff do not access personal and confidential data unless access is required to  perform a specific task.
