•    Full time, ongoing role – 80 hours per fortnight with a monthly ADO
•    Parkville location, with multiple public transport options available
•    Up to $106,759 (prorated for part time) + salary packaging + super + five weeks annual leave

We are seeking suitably experienced and motivated applicants for the role of Administration Manager – Patient Navigators. About the team
The Patient Navigator team plays a vital role in supporting patients throughout their healthcare journey by providing coordinated, timely, and compassionate administrative support across a range of tumour streams. Working closely with clinical teams and services across the organisation, the team is committed to improving patient access, experience, and outcomes through high-quality administration, collaboration, and continuous service improvement.
 
About the role
The Administration Manager - Patient Navigator Service provides leadership to and management of the Patient Navigator team responsible for supporting various tumour streams including Upper Gastrointestinal, Lower Gastrointestinal, Genitourinary, Melanoma & Skin, Breast, Sarcoma, Head & Neck, Early Drug and Development, Lung/Cancer of the unknown Primary, Late effects, Paediatrics, Gynaecology, Neurology and Gamma Knife. The role provides professional leadership and strategic direction relevant to the Patient Navigator Service across the Ambulatory Administration teams and other services, in consultation with the Operations Directors.

 

A regular day will see you:
•    Provide leadership, direction and support to the Patient Navigator team across multiple tumour streams and services.
•    Oversee the delivery of high-quality, efficient and patient-centred administrative services.
•    Work collaboratively with clinical teams, Operations Directors and other stakeholders to support service coordination and continuous improvement.
•    Lead people, processes and performance to foster a culture of quality, accountability, collaboration and ongoing learning.

Position Summary

At Peter Mac patient care is delivered via a tumour stream model by multi-disciplinary teams that have specialist knowledge of specific cancer types. Patient Navigators are responsible for ensuring that the patient's diagnostic, treatment and clinic review appointments are appropriately coordinated and conducted within clinically required timeframes. They attend required tumour stream specialist clinics and provide preparatory support for these and for Multi-Disciplinary Meetings (MDMs).

The Administration Manager - Patient Navigator Service provides leadership to and management of the Patient Navigator team responsible for supporting various tumour streams including Upper Gastrointestinal, Lower Gastrointestinal, Genitourinary, Melanoma & Skin, Breast, Sarcoma, Head & Neck, Early Drug and Development, Lung/Cancer of the unknown Primary, Late effects, Paediatrics, Gynaecology, Neurology and Gamma Knife. The role provides professional leadership and strategic direction relevant to the Patient Navigator Service across the Ambulatory Administration teams and other services, in consultation with the Operations Directors.

•    Delivery of the highest standards in customer service and patient support, and leading others to demonstrate the same standards.
•    Providing governance and support for rostering, leave management, mandatory training, performance management and annual performance appraisals for the Patient Navigator team.
•    Providing expertise in systems and administrative processes, including those relating to patient registrations, referrals, appointments, and revenue management.
•    Facilitation of ongoing training, education, and support to the Patient Navigator team with a focus on quality and process improvement.
•    Reviewing and monitoring changes in tumour stream activity as well as Patient Navigator workloads and
staffing allocation and ensuring optimal cover is provided for clinical services.
•    Resource and financial accountability for Patient Navigator cost centres.
•    Identifying opportunities for process improvement and lead change across the Ambulatory Service as required.
•    Working in close collaboration with clinical teams and other services to effect improvements across all our administrative processes, including Specialist Clinics and Day Therapy.

Essential Requirements
  • Qualified Tertiary graduate or several years' work experience in an administration setting.
  • Experience providing direct line supervision to a small to medium sized team or demonstrated competence in a specified technical activity.
  • Experience in managing conflicting priorities.
  • Strong customer service skills, able to communicate effectively and respectfully with patients and staff.
  • Strong communication and stakeholder management skills.
  • Demonstrated skills in the use of IT systems, preferably in a health care setting.
  • Competent in use of the Microsoft Office Suite. 

Desirable Requirements

  • Experience developing and implementing administrative policies and procedures.
  • Experience leading quality improvement projects.

  • Act in partnership with the Team Leaders as direct line manager for the entire team, including prioritisation of daily activities, setting and monitoring of KPI targets, rostering, leave management and staff recruitment.
  • In partnership with the Patient Navigator Training officer, lead staff training and development to build and maintain robust skill sets within the team. Perform annual performance development in line with current People & Culture policy.
  • Monitor staff wellbeing and performance and provide timely feedback on work performance.
  • Ensure that staff have completed all mandatory training requirements and comply with organisational policies and procedures under which they operate
  • Facilitate staff engagement with the broader Peter Mac community and its strategy through team meetings and regular communications.
  • Manage a specialist technical portfolio and provide technical leadership and recommendations to management in the designated area of expertise.
  • Develop and present training programs in area of technical expertise.
  • Utilise leadership skills to gain cooperation and assistance in administration activities and influence others to meet the achievement of objectives. Prepare briefing papers for the wider Clinical Operations Group as required to inform service improvement.
  • Develop and maintain administrative SOPs (standard operating procedures) relevant to area of expertise.

3. Monitor, report, and improve team performance 
  • Develop consolidated reports and provide to the line manager and other key staff groups.
  • Troubleshoot and help to resolve, in partnership with the Team Leaders, any issues experienced by the work group in a timely manner to ensure quality is maintained.
  • Manage patient records in accordance with hospital policy and Data Accountability Framework to always maintain data integrity.
  • Ensure that the performance of the team meets the standards required by the organisation through a regular system of auditing performance and intervene as required.
  • Analyse situations or information, clearly and accurately communicate information, make recommendations to line management, and develop solutions aimed at improving workflows within the organisation.
  • Proactively identify opportunities for process improvement and lead the team to implement appropriate solutions.
4. Support the work of the team and department
  • Ensure invoices from external providers are collated and processed by the team in a timely manner.
  • Monitor ongoing expenses against allocated budget and provide strategic cost saving strategies.
  • Provide high level administrative support to senior managers or relevant executives including acting as EA for high level committees.
  • Other tasks as directed by the line manager.
5. Stakeholder management
