Gifts in Wills Marketing Coordinator - Ongoing, Full-Time Role

 

•    Successfully retain and acquire gifts in Wills supporters across all channels, primarily direct marketing
•    Promote gifts in Wills within Peter Mac’s donor pool and the wider community through print, digital and other communications
•    Manage communications and events for confirmed gifts in Wills supporters to provide them with the highest level of stewardship and donor care
•    Ongoing full-time role, hybrid
 
About the ROLE
The Gifts in Wills Marketing Coordinator will play a key role in stewarding, retaining, and acquiring gifts in Wills supporters to make a significant impact on the search for cancer cures by coordinating all direct marketing activities related to the Gifts in Wills program. You are a skilled direct marketer with a passion for gifts in Wills fundraising, organised and hold strong project management skills with the ability to deliver multiple projects to time. You will join one of Australia’s leading Gifts in Wills programs and be part of an established, successful, engaged, supportive and results-driven team.
 
About YOU
•    Strong fundraising knowledge and experience, with proven success in delivering mass marketing campaigns (direct mail, digital, telemarketing, eDM).
•    Demonstrated experience in managing multiple projects and working with stakeholders to deliver projects to meet deadlines and achieve targets.
•    Excellent written and verbal communication, able to adapt messages to audiences and channels.
•    Passionate about gifts in Wills fundraising.
•    Demonstrated ability to work effectively with a high degree of accountability, self-motivation, and initiative.
•    Understanding of relationship fundraising at scale.
•    Ability to use data to drive strategic decisions in fundraising campaigns.
•    Excellent organisational and prioritisation skills.
•    Fundraising database experience, preferably Blackbaud.

Remuneration as per Health and Allied Services, Managers and Administrative Workers (Victorian Public Sector) (Single Interest Employers) Enterprise Agreement 2021-2025, $74,448.40 per annum to $82,000.00 per annum, depending on candidate experience. To be discussed with Hiring Manager.

Position Summary

Peter Mac’s Gifts in Wills program is responsible for promoting gifts in Wills to new and existing Peter Mac supporters and generates significant income to support Peter Mac’s life-saving research.

As Gifts in Wills Marketing Coordinator, you will work closely with the Individual Giving team to successfully retain, steward, and acquire gifts in Wills supporters across all channels, primarily direct marketing. You love gifts in Wills fundraising and understand relationship fundraising at scale. You are organised and hold strong project management skills with the ability to deliver projects to time.

The Gifts in Wills Marketing Coordinator is responsible for:
•Managing projects to strengthen and grow the Gifts in Wills program as identified and agreed with the Gifts in Wills and Estates Manager, in collaboration with the Individual Giving team.
•Contributing as directed to promoting gifts in Wills through print, digital and other communications.
•Being the CRM Super User for the Gifts in Wills and Estates team, leading team specific induction and training.
•Day to day management of direct marketing suppliers, including online Will writing platform providers.
•Planning and delivering stewardship events and other engagement activities, in collaboration with the Marketing and Events Coordinator.
•Providing administration support for the Gifts in Wills and In Memory programs.
•Collaborating with other Foundation fundraising programs to optimise donor service delivery and overall fundraising revenue.
•Maintaining accurate records and ensuring data quality and integrity.
•Ensuring compliance with all relevant Privacy and Fundraising Legislation.

•Liaise with confirmed gift in Wills supporters (Friends for Life) for interviews and content gathering, and represent researchers and clinicians accurately, while meeting strategic direct marketing goals.
•Ensure all direct marketing activities are aligned with Peter Mac brand and values.
•Contribute to direct marketing strategies to drive gifts in Wills acquisition, retention, stewardship, and increased giving value.
1.4 Reporting and analysis.    
•Use data and results to contribute to strategy and to implement plans.
•Test and evaluate new campaigns, channels, and tactics in line with Foundation strategic plan and objectives.
•Where outcomes can be reasonably controlled, ensure ROI and program targets of relevant direct marketing activities are met.
•Remain abreast of market trends and integrate learnings where appropriate.
•Ensure data is accurate and matches rationale for tactics.
•Mail file data is complete and accurate.
•Ensure donor communications are accurate, in line with brand guidelines and without visual or textual errors.
•Work closely with service providers to ensure optimum outcomes are achieved and service provider KPIs are met.
•Manage reporting of precise donor segments across acquisition, conversion, stewardship, response rate, results of tests.
•Track performance YOY and highlight any diversions from expectations.
•Add value to reports from external suppliers by providing context, Foundation and industry insights and trends.
•Ensure knowledge gained from appeals testing and optimisation is shared with the Foundation and recorded for future development.
2. Gifts in Wills donor development, stewardship, and care.    
•Implement a Gifts in Wills donor care and stewardship program and ensure it is managed in line with the Gifts in Wills program and Foundation’s donor service levels and recognition policy, completed within agreed timeframes.
•Monitor the donor journey for different segments to inform tactics.
•Monitor gifts in Wills donor feedback and work collaboratively with the Supporter Engagement Team to ensure excellent donor service and care.
•Monitor and develop the donor journey to service new and existing gifts in Wills donors and promote retention and repeat giving.
•Provide the Supporter Engagement and Database and Analytics Teams with adequate briefings and objection handling management to ensure consistent service for donors.

•Ensure confirmed Friends for Life receive timely and accurate communications as part of their stewardship journey.
•Work with the Supporter Engagement Team, Gifts in Wills Officers and Database and Analytics Team to ensure the timely and accurate recording of supporters’ gift in Will intentions in CRM.
•Review gifts in Wills materials to ensure they align with Foundation core messaging and brand.
•Monitor stock levels of gifts in Wills materials and replenish as needed.
•Ensure In Memory donors receive timely and accurate communications as part of their donor journey and they are managed in line with donor service levels and recognition policy, within agreed timeframes.
4. CRM Super User    
•Lead program specific CRM induction and training for the Gifts in Wills and Estates team.
•Form part of the working group to ensure cross- organisational engagement across all CRM users.
•Represent the Gifts in Wills and Estates team for new CRM processes and initiatives, ensuring all aspects of the program are addressed through system and best practice.
5. Budget management.    
•Assist in budget development for DM campaigns.
•Monitor DM budget income and expenses.
•Provide regular timely and accurate reports against budget as requested.
•Document and rationalise any budget variations.
6. Program integration.    
•Seek appropriate opportunities in line with agreed operational plans to convert and acquire gifts in Wills supporters with other revenue streams, particularly Individual Giving (cash, digital and regular giving), Community and Events Fundraising and Philanthropy.
•Demonstrate that donors are converting across channels and revenue streams.
7. Compliance. •Understand and comply with all relevant legislations and regulations, especially Privacy and Fundraising and Peter Mac and Foundation policies and procedures.
8. Team participation.    
•Work collegially to ensure strong positive and professional working relationships within the Foundation and with Peter Mac staff and community.
•Actively participate in all Foundation activities, including answering donor calls when required, as well as contributing to cross-functional working groups and strategic initiatives.
•Regular attendance and participation at staff and other meetings.
•Attend, participate and contribute to relevant professional development and training opportunities.
•Work collaboratively with the Foundation and Peter Mac Communications teams to ensure consistency in messaging and brand and policy.
