EMR Research Liaison Coordinator

 

  • 4-months fixed term, full time opportunity (long service leave backfill)
  • 80-hours per fortnight with monthly ADO's
  • $92,856.40 - $115,658.61 AUD p.a. base + salary packaging + super + 5 weeks annual leave (pro-rata)

 

About the role

 

As the EMR Research Liaison Coordinator, you will play a pivotal role in strengthening the connection between research teams and the Parkville Electronic Medical Record (EMR) system. You will be responsible for supporting researchers across Peter Mac by coordinating EMR related research activities, ensuring high quality communication, and enabling the optimal use of EMR functionality for research purposes.

 

Working closely with the Peter Mac EMR team, the Parkville EMR Research Team, the Office of Cancer Research, and broader precinct partners, you will act as a key liaison to help streamline processes, support research workflows, promote good governance practices, and enhance the use of digital tools that underpin world class cancer research.

 

This position will also contribute to EMR training and education for research staff, assist with workflow analysis and research related EMR enhancements, and support study teams with data requirements, research study builds, and problem solving. Strong communication and relationship building skills are essential, as the role requires working across multiple teams and clinical and non clinical stakeholders.

Position Summary

The Parkville EMR is a world-class system shared by The Royal Melbourne Hospital, The Royal Women’s Hospital, The Royal Children’s Hospital and Peter MacCallum Cancer Centre to support high-quality, seamless healthcare and improve health outcomes for Victorians. The EMR is used by more than 15,000 clinicians and staff across the four health services and is delivered in partnership with Epic, a global leader in health information technology. At Peter MacCallum Cancer Centre our EMR is used daily by more than 2,500 clinicians and staff across our five campuses and is integral to how every clinical service operates.

As an experienced researcher you will be responsible for the communication between research teams and EMR as a key liaison coordinator, have a role in EMR education and training and providing support of researchers within Peter Mac in relation to research EMR workflows. This role will act as the contact pivot point between researchers, clinicians, supporting departments, the Parkville EMR Research team and the Peter Mac EMR team asneeded, with the aim to ensure comprehensive and timely communication, particularly regarding the build and maintenance of study records in the EMR. This role will ensure that all research staff at Peter Mac have provided with the service/skills required to conduct laboratory, translational and clinical research and to encourage good governance practices are adhered to.

There is an expectation that training or face-to-face support for staff may be required, though much communication may be done through online methods so strong communication skills are key. This role may also assist in EMR problem-solving, analysis of workflows and change management as EMR enhancements get delivered to improve processes and data quality.

While the role reports operationally to the Director EMR Optimisation, the role will need to have close working relationships with the Peter Mac EMR team, Office of Cancer Research (OCR), Parkville Cancer Clinical Trials Unit (PCCTU), other Peter Mac staff, Parkville EMR team and EMR stakeholders in the precinct health services.

1. Communication and Engagement

 

  • Pro-actively build and maintain a good working relationship with the research stakeholders within Peter Mac to ensure the system configuration aligns with local requirements and strategic directions;
  • Establish and maintain close communication with Research EMR team and Parkville precinct teams;
  • Assist with the data collection and submission of research requirementsto the Research EMR team for build, testing and validation of research functionality;
  • Develop an understanding of workflows and requirements and gather and document information in your area of responsibility. This may include workflows, policies and procedures as well as reporting requirements;
  • Advocate and lead optimal use and configuration of research functionality including Research studies, clinical trials, order sets, patient recruitment, establishment and maintaining data quality and data governance, and integration with electronic research management systems;
  • Support study teams with monitor account workflows and the configuration of source documents in the EMR;
  • Facilitate the use of EMR to recruit into trials and other clinical research projects and enable researchers to easily access existing data for research;
  • Facilitate regular communication with relevant stakeholders and staff, listening to and analysing their needs and negotiating agreed outcomes;
  • Communicate and facilitate adoption of upcoming research related EMR updates and enhancements with researchers;
  • Consult on process design alternatives and decisions, proposing multiple solutions to problems identified, communicate options with research stakeholders within the precinct and agree a way forward;
  • Identify and communicate impacts and changes to Peter Mac research workflows, guidelines, policies and procedures and report issues that may arise as a result of decisions;
  • Develop and implement operational service plans and ensure stakeholder participation in planning process;
  • Ensure timely and relevant reporting to internal stakeholders and external regulatory bodies;
  • Serve as a EMR Research champion and subject matter expert (SME) for research functionality;

  • Adaptation of site-specific research training materials together with the PCCTU EMR Support Officer and PMC Clinical Informatics and Education Officer as required;
  • Facilitate and provide mentoring with timely access to EMR research education resources for new research staff;
  • Establish a network of champions in the research division to provide support for their mentorship of others
  • Assist with streamlining onboarding workflows of research Honorary staff;
  • Support study teams and researchers in providing complete and accurate proforma notifications to the EMR BAU team for Research record and SmartSet/OrderSet/Protocol build;
  • Assist study teams in the use and configuration of EMR tools which support collection of research source documents ie Smart-tools, SmartForms, Flowsheets, Letter templates, Synopsis view, Questionnaires,
  • Assist with research submission processes’ to ensure the REDCap notification survey is complete with details required by the EMR research team for build.

 

3. Improvements

 

  • Take responsibility for the review, testing and implementation of research EMR functionality at Peter Mac together with the PCCTU EMR Support Officer and PMC Clinical Informatics and Education Officer;
  • Work collaboratively with the Research EMR team to identify modifications required to the existing EMR system to accommodate the inclusion of the Health services’ research requirements;
  • Raise any research related issues or risks and escalate to the EMR Research team lead and the Peter Mac Director EMR Optimisation;
