About the team

At Peter Mac, the EMR Optimisation team supports the safe, efficient and meaningful use of the Parkville EMR by staff, patients and carers. The team delivers EMR education, acts as a change agent and translator, supports adoption of the system (including for research and analytics), provides digital leadership, and actively enables quality improvement EMR enhancement projects using a learning health systems approach of harnessing data for insights, system co-design and continuous evaluation post implementation. Embedded within Peter Mac, the team also maintains strong collaborative relationships with precinct partners and the Parkville EMR team.

 

About the role

A EMR CIO is responsible for assessing portfolio needs, including workflow and system process analysis, lead enhancements design and implementation, develop supporting education and perform evaluation for continuous improvement. They will be at least proficient in one Epic EMR application and demonstrate a willingness to build knowledge across other EMR areas, including reporting. In addition to their portfolio responsibilities, the EMR CIO contributes to broader EMR team functions—such as EMR reporting workshops, system upgrades, support for planned/unplanned downtimes, and other tasks as assigned by the Director, EMR Optimisation. 

This role is specific to the portfolio area of Virtual Care. The CIO will have a specific focus on optimising Health Hub and the implementation of PROMs at Peter Mac, therefore experience in these areas is highly regarded.

 

This is an fixed term (12 month) position based at Peter Mac Melbourne campus, with the opportunity for flexible working arrangements.

Position Summary

The Parkville Electronic Medical Record (EMR) is a world-class system shared by Peter MacCallum Cancer Centre, The Royal Melbourne Hospital, The Royal Women’s Hospital and The Royal Children’s Hospital to support high-quality, seamless healthcare and improve health outcomes for Victorians. The EMR is used by more than 15,000 clinicians and staff across the four health services and is delivered in partnership with Epic, a global leader in health information technology.

The EMR Analyst will work with the Peter Mac EMR team to contribute to the optimization and use of the EMR with a focus on analysis of workflows and reporting, with guidance from the EMR applications team. The EMR Analyst will be responsible for assessing and build improvements of the EMR for staff at Peter Mac. The position will be at lease proficient in one EMR application, with a developing knowledge of other EMR applications, including reporting. 

The work of the EMR Analyst will be driven by the EMR optimisation plan and the EMR 'improvement' requests from end users. The EMR Analyst position will also be involved in the day to day operational responsibilities of the Peter Mac EMR team including providing support and preparation prior and during EMR upgrades and planned/unplanned downtimes. 

You will work collaboratively with the EMR leadership team, EMR team, EMR vendor, adoption managers, technical teams and local health services to ensure the EMR is maintained, operates and optimised for the Parkville EMR Service for the benefit of all 4 health services.

Essential Requirements 
  • Qualifications in a related field along and/or relevant industry experience 
  • Epic proficiency or certification and or equivalent experience; 
  • Demonstrated ability to engage and build strong relationships 
  • Demonstrated commitment to lead and contribute as part of a team 
  • Demonstrated proficiency in the use of established administrative processes 
  • Experience in continuous improvement 
  • Ability to work autonomously 
Desirable Requirements 
  • All clinical professionals must meet credentialing requirements; 
  • Experience working in a tertiary hospital environment is highly desirable; 
  • Experience working with EMRs and/or Healthcare/eHealth applications will be highly regarded; 
  • This position would suit a candidate with a clinical background and/or skills and experience within the following professions: 
  1. Nursing or Midwifery with oncology experience 
  2. Pharmacist with oncology experience

1. Application Support 
  • Actively monitor, resolve and troubleshoot incident and service requests to provide a responsive and agile day to day support service that meets the needs of the Peter Mac EMR Service; 
  • Perform analysis of workflows, enhancement requests and other technical issues associated with the EMR and develop functional and technical solutions that reflect an in-depth understanding of the user’s requirements; 
  • Configure, build, test and perform system maintenance tasks to ensure the EMR application is available, current and well maintained; 
  • Design and build approved EMR optimisations to ensure that end users are effectively engaged in the continuous improvement of the EMR to continue to support and improve the delivery of care provided; 
  • Complete allocated special updates (SU) and system upgrades including review of release notes, build, testing and identification of training and workflow impacts; 
  • Design, validate and confirm any new or changed system functionality with impacted stakeholders; 
  • Perform system testing, including the development and maintenance of test plans, scripts, execution of testing and remediation of issues identified through testing; 
  • Maintain system, training and support documentation; 
  • Other tasks as directed by EMR managers. 
2. Incident Management, Business Continuity and System Outage Management 
  • Assist with co-ordination of planning for system outages, upgrade and system updates; 
  • Perform EMR Triage Manager role out of hours when rostered; 
  • Participate in post-implement reviews for relevant critical EMR incidents and planned outages; 
  • Monitor and maintain the EMR Business Continuity Access systems.
3. Training Support 
  • Identify changes required and update training materials and training environment; 
  • Deliver EMR training when required. 
4. Relationship Management & Communication 
  • Develop and maintain a good working relationship with EMR vendor, relevant departments and ICT teams at each Health Service to ensure the system configuration aligns with local requirements and strategic directions; 
  • Work closely with health service clinical services to understand and prioritise enhancement requests that support clinical workflows; 
  • Support and participate in Parkville and Peter Mac EMR committee meetings; 
  • Provide multiple solutions to problems identified and communicate options with stakeholders and agree a way forward; 
  • Present technical concepts in simple and understandable terms so as both technical and non-technical audiences gain an understanding of the problem and proposed solution; 
  • Assist in management of problems and address questions from end users.
