Clinical Trials Assistant
Employment Type: 2-year fixed term, Full Time Role
Hours: 80 Hours per Fortnight (with ADO) or 76 Hours per Fortnight (no ADO)
Salary: $60,780 to $67,194 (HS1-8) per annum + Super + Salary Packaging
As a member of the Radiation Oncology research team the Clinical Trials Assistant (CTA) is responsible for providing administrative and clerical support to ensure effective and efficient team operations. In conjunction with team members the CTA will contribute to the delivery of direct and indirect clinical trial related care of participants and associated data collection for clinical trials and research studies (collectively known as “Study/ies”) undertaken in the Department of Radiation Oncology (DRO).
Key Accountabilities include (but not limited to):
• Provide efficient administrative support for clinical trial activities, ensuring tasks are completed accurately, on time, and in compliance with GCP, SOPs, and regulatory requirements.
• Coordinate and maintain essential clinical trial documentation, records, and monitoring visit activities.
• Support financial processes and patient reimbursement activities in line with institutional and regulatory guidelines.
• Provide user support and administration for clinical trial management systems and databases, including data entry and access management.
• Ensure clinical trial data is entered, maintained, and verified accurately within required timelines.
• Build and maintain effective working relationships with internal teams, investigators, and external stakeholders.
• Demonstrate strong communication, teamwork, and confidentiality in all interactions.
• Manage competing priorities, meet deadlines, and maintain high standards of organisation, planning, and data quality.
• Contribute to continuous improvement, staff support, and professional development activities while communicating effectively with key stakeholders.
Essential requirements:
• A tertiary degree in science, health care or a related field
• Excellent interpersonal and communication skills.
• Flexibility to work collaboratively within a team and independently with self-oversight. Initiative and self-motivation is essential to daily tasks.
• Demonstrated excellent organizational, problem-solving skills and ability to multi-task and prioritize work.
• Ability to complete tasks efficiently and deliver outcomes as required with accuracy and attention to detail.
Desirable Requirements:
• Previous health care experience, paid or voluntary
• Basic understanding of the oncology/haematology diseases, radiation therapy, and/or patient pathway
• Previous data entry experience

Position Summary
As a member of the Radiation Oncology research team the Clinical Trials Assistant (CTA) is responsible for providing administrative and clerical support to ensure effective and efficient team operations. In conjunction with team members the CTA will be responsible for maintaining appropriate regulatory documents and ensuring regulatory compliance in the conduct of clinical trials. This role will assist with study monitoring processes, study data collection and assisting with study monitoring and auditing.

Key Accountabilities
| 1. Effective administrative support is provided to the clinical trials team members | • Administratively assists unit staff with the day to day running of multiple clinical trials, as needed. • Ability to interpret the needs and priorities within the team to provide effective administrative support • All allocated trial related tasks are met in the designated timelines, in an organised manner and in accordance with ICH GCP. • Maintenance of regulatory files in accordance with ICH GCP and Unit SOPs • Electronic and hard copy filing is conducted in a timely manner and in accordance with regulatory requirements. • Effectively coordinates monitoring visits as required • Actively co-ordinate financial processes in compliance with institutional polices and regulatory guidelines. • Develops and implements tools to oversee and facilitate patient reimbursement |

Database/s, clinical trial management system support is provided to team | • Provides support and acts as resource to Unit staff in the use of the Site Docs clinical trial management system. • Provides support to Unit staff in the entry of data into relevant unit database/s. • All requests for data entry are responded to and completed within allocated timelines. • All data entered is accurate and verifiable against source data. • Undertakes appropriate training where required allowing access to appropriate databases. |
