Change Analyst - Foundation
Ongoing, Full Time or Part Time 0.8 FTE role

The Foundation team is seeking a highly skilled and motivated Change Analyst to support the successful execution of strategic projects across the organisation, including the ongoing evolution of our newly implemented CRM system. You will work closely with the Strategic Projects Manager to drive change management for a variety of high impact initiatives, focusing on ensuring smooth transitions, effective stakeholder engagement and successful adoption of new processes and systems. We are open to full time hours or those looking to work 0.8 FTE.

Remuneration as per Heath and Allied Services, Managers and Administrative Workers (Victorian Public Sector) (Single Interest Employers) Enterprise Agreement 2021 - 2025. Grade 4 Year 1 $83,657.60 (full-time equivalent) to Year 5 $92,482 (full-time equivalent) dependent on candidate experience. To be discussed with Hiring Manager.

Position Summary

This role works closely with the Strategic Projects Manager to drive change management for a variety of high impact initiatives, focusing on ensuring smooth transitions, effective stakeholder engagement, and successful adoption of new processes and systems. Strategic Projects is a key driver of growth within the Foundation, leading initiatives that address complex organisation wide challenges in alignment with our strategic vision. Your contributions will be vital in supporting these efforts, helping the Foundation achieve operational excellence and sustainable impact.

This includes developing and implementation change management strategies for new initiatives, ensuring that all stakeholders are appropriately supported through communication, training and engagement efforts. The role requires a high-level stakeholder management, technical acumen, and excellent knowledge of change management best practices.  

In addition to supporting broader strategic initiatives, you will also play a key role in managing the ongoing change process for our CRM system. As the Foundation continues to release system enhancements, you will collaborate closely with the CRM Enhancement Lead to assist in training efforts for new features, maintain up to date documentation and manage the ongoing change processes. A key aspect of the responsibilities will be to support user adoption, ensuring that employees are equipped with the tools and knowledge to successfully integrate new CRM features into their daily operations. 

This is a part time, ongoing position (0.8 - 1FTE) within the Finance & Operations team, offering an exciting opportunity to make a direct impact on the organisation’s operational success.

Essential Requirements • Experience and knowledge of change management principles, methodologies (i.e. PROSCI & ADKAR), and tools, ideally in medium scale projects across a variety of settings (technical and non-technical). 
• Demonstrated success in leading organisational change initiatives, including those involving process, system or cultural transitions. 
• Excellent communication skills, both written and verbal.
• Experience in planning and managing transition, adoption and training related to systems, processes or platforms. 
• Ability to clearly articulate messages to a variety of audiences.

Desireable Requirements • Certification in change management.

1. Apply a structured methodology and lead change management activities • Use a structured approach and tools to manage changes in the Foundation, including but not limited to, creating a change plan, communications plan and training plan. 
• Identify, analyse and prepare risk mitigation tactics, and identify and manage anticipated resistance to change. 
• Capture, define and measure data on key success metrics.
• Actively support the Strategic Project Manager, CRM Enhancement Lead, CRM Business Analyst.
• Act as the lead change contact for external stakeholders; vendors, solution consultants, and implementation partners. 
2. Support communication efforts regarding changes • Enable the design, development, delivery, and management of key communications.
• Maintain a strong line of communication with all stakeholders throughout the changes.
• Establish a feedback loop mechanism to ensure solutions and proposed changes delivered meet the stated objectives, benefit the end-users and align with scope and requirements.
• Support and facilitate the shaping of a positive and consistent narrative of organisational change needs and benefits realisation across the Foundation.
3. Assess change impacts • Conduct change analysis and change impact assessments based on ADKAR or PROSCII change methodologies.  
• Assess change readiness and identify key stakeholders.
• Analyse and contribute to the management of change related project risks , including mitigation planning to ensure adoption and business continuity.

4. Lead training and documentation efforts • Provide input, procedural document requirements, and support the design and delivery of training programs.

• Develop training assessment and proactively adapt training material and sessions to incorporate feedback.

5. Ensures compliance with PMC and PMCF policy and procedures • Ensure activities comply with all applicable Australian laws and regulations; PMCF policy and procedures; fundraising legislation; standards and codes of conduct in relation to members of the public, supporters and donor communications, their engagement, transactional processing, data collection and transfer.
6. Team consultation and collaboration • Work collaboratively and foster strong positive and professional working relationships with internal and external project team members, and all stakeholders.
