Program Administrator - Clinical Placement Program in Cancer Survivorship
Fixed Term, Part-Time Role
This is a fixed term (until 30 June 2027), part-time (48 hours per fortnight) Project Administrator role.
This Project Administrator role will support the delivery of the 5th Clinical Placement Program in Cancer Survivorship (CPPiCS). This is a Victorian Government funded statewide program that aims to build knowledge and capacity of health professionals in survivorship care. The program is funded through to September 2027.
This role will be based within the Australian Cancer Survivorship Centre (ACSC). This is an exciting time to join the ACSC, as we lead survivorship activities outlined in the Victorian Cancer Plan 2024-2028. The ACSC prioritise a diverse and inclusive culture and offer workplace flexibility.
Essential selection criteria
• High level communication and interpersonal skills
• At least two years’ experience in an administrative role, ideally in health or education
• Demonstrated experience in supporting events and education programs in the health sector
• Demonstrated initiative and ability to determine priorities
• Demonstrated skills in time management and attention to detail
• Proficiency in information technology, including online platforms, learning management systems, Microsoft Office suite, and the ability to learn new systems quickly

Remuneration as per Health and Allied Services, Managers and Administrative Workers (Victorian Public Sector) (Single Interest Employers) Enterprise Agreement 2021-2025 - HS Grade 2 Year 1 (HS2) $66,768.00 per annum (full-time equivalent - to be prorated for part-time) to HS Grade 1 Year 5 (HS21) $73,811.92 per annum (full-time equivalent - to be prorated for part-time) dependent on candidate experience. Position Summary
The primary purpose of the role is to provide administrative support to the delivery of the Clinical Placement Program in Cancer Survivorship (CPPiCS). This is a Victorian Government funded statewide program that recruits health professionals to undertake placements at multiple host sites (for example acute hospitals, community-based service providers and community rehabilitation services). The program is currently funded through to September 2027. The Administrator, CPPiCS will support the ACSC Project Manager, CPPiCS and the broader ACSC team.

1. Comprehensive administrative support | • Ensures office coordination including financial management of invoices and payments, ordering supplies, photocopying, printing and answering incoming calls and emails. • Supports CPPiCS program including handling enquiries and bookings, and maintaining databases and contact lists. • Supports CPPiCS/ACSC program meetings, including online meeting scheduling, room bookings, recording of minutes and follow up of actions arising. • Assists with the organisation of CPPiCS program and events including communications and promotion, online scheduling, booking rooms, arranging catering and other requirements as needed. • Collects data to monitor activity and support evaluation of CPPiCS activities • Assists in the preparation of reports related to CPPiCS activities • Coordinate travel bookings, including advising external agencies as required • Liaises with the Information Technology team as required to prepare for events and troubleshoot IT equipment. • Other duties as directed by Project Manager, CPPiCS, and Manager ACSC |
2. Support the delivery of the placement program | • Coordinate and liaise promptly and effectively with relevant individuals and departments within and external to Peter Mac. • Build positive relationship with internal and external stakeholders • Support promotion and recruitment processes for CPPiCS • Develop a process to support scheduling and communication of CPPiCS activities across multiple sites • Maintain the online education portal and scheduling system as required • Identify and implement relevant booking processes/systems (e.g. online solutions) to support registration into education activities • Escalation of CPPiCS issues as they arise |
