Administration Officer - Familial Cancer Centre
Ongoing, Full-time position
 
The Office Administrator will primarily be responsible for the provision of general administrative tasks required in a Multidisciplinary Specialist Outpatient Clinic Genetic Service.  This includes supporting the clinical team and colleagues to ensure patients receive the best clinic service and a positive experience with Genomic Medicine and Parkville Familial Cancer Centre. 
 
The role is that of Administration, Phone and Clinic reception and scheduling for our Specialist Outpatient Clinic service.
Patients are referred to the Genetics service where Specialist Outpatient Clinics run daily.  Excellent interpersonal skills, a focus on attention to detail, as well as a demonstrated capacity to work as part of a multidisciplinary team are required.
 
Remuneration as per Heath and Allied Services, Managers and Administrative Workers (Victorian Public Sector) (Single Interest Employers) Enterprise Agreement 2021 - 2025. Grade 1 $58,442.80 to $64,610.00 (full-time equivalent) dependent on candidate experience. To be discussed with Hiring Manager. 
 
The role is part of a team that not only works in Genomic Medicine at Royal Melbourne Hospital but also works within the merged department of Parkville Familial Cancer Centre across both Royal Melbourne Hospital and Peter MacCallum Cancer Centre.

Position Summary

To provide clerical and administrative support for the Parkville Familial Cancer Centre including clinic reception and phone reception. The position requires excellent interpersonal skills as well as a demonstrated capacity to work as part of a multidisciplinary team. Previous experience working in a medical setting or in a genetic unit is desirable.

The position is responsible for administering outpatient clinics including entering appointments, ‘front office’ duties including receiving patients, organisation and entry of Medicare billing, administering patient files, entering data into relevant database, covering phone reception (when required), general filing, scanning and mailing correspondence. The scope of the activities is broad and some flexibility is required.

  • Demonstrated ability to communicate effectively with patients and staff on the telephone and in person 
  • Demonstrated experience in office or administrative work 
  • Competence and familiarity with basic administrative software packages such as MS office suite

  • Demonstrated ability to exercise judgement, show initiative and maintain confidentiality in performance of tasks 
Desirable Requirements 
  • Familiarity with a health-related service/workplace

  • Efficient and professional manner when dealing with telephone calls, and messages are relayed accurately to the appropriate PFCC staff

  • Offers opinions and suggestions related to improving PFCC processes
  • Supports the administrative team to ensure the highest levels of service and professionalism
