Administration Officer – Cancer Imaging / ProsTIC
Fixed Term, Part-Time (64 hours per fortnight / 4 days per week)

We’re seeking a Senior Research Administration Officer to support the Director and Program Manager in their vital work. This is a fast-paced and varied role where no two days are the same.
In this role, you will:
• Manage key administrative tasks and correspondence
• Assist with grant applications and reporting
• Support budgeting, reimbursements, and financial tracking
• Coordinate travel arrangements for local and international conferences
• Manage and update our website and social media channels (LinkedIn, YouTube, X)
• Help plan and execute international conferences, workshops, and webinars
• Support executive reporting and communications with Peter MacCallum Cancer Centre leadership
• Foster strong relationships across our multidisciplinary team
We’re looking for someone who can anticipate needs, streamline processes, and keep things running smoothly behind the scenes. Your work will directly support a team at the forefront of clinical and laboratory research in prostate cancer, helping to drive innovation and improve patient outcomes.

Position Summary
Administration Assistant provides high-level administrative support directly to the ProsTIC Director & Program Manager. This role involves:
Delivering the highest standards of internal and external customer service
Provide expertise in administration systems and administrative processes
Provide administrative support to the ProsTIC Director & Program manager assisting them with various tasks including financial/budgeting/reimbursements, grant writing support, high level minute taking and follow up of action items, diary and travel management, social media management across multiple platforms ie: LinkedIn, YouTube, Website, X
Support outreach and education projects such as conferences and workshops
Identify opportunities for process improvement and lead change initiatives.

Skills
Essential requirements
Strong customer service skills, able to communicate effectively and respectfully with stakeholders
Strong communication, organisational and stakeholder management skills
Strong budgeting & financial reporting skills
Demonstrated skills in the use of IT systems, preferably in a health care setting
Competent in use of multiple IT platforms such as Office Suite incl Outlook 365, Google Drive, PDF management eSign, DropBox
Competent in virtual meeting platforms Microsoft Teams, ZOOM
Creative interest in graphic design using Canva
Can do attitude and happy disposition
Ability to work collegiately as part of a busy administrative team.
Ability to maintain confidentiality and discretion at all times
Desirable requirements
Tertiary graduate or a number of years’ work experience in a research/hospital setting
Interest in clinical research
Experience in research grant applications
Key Accountabilities
1. Take leadership of administration activity within the ProsTIC program
Utilise leadership skills to gain cooperation and assistance in administration activities and influence others in order to meet the achievement of objectives
Expert diary management through effective management of calendars, using initiative to resolve any conflicts and exercise judgement on priorities and ensuring priorities are always met. Proactively considering and managing forward planning of critical events
Excellent word processing skills, ensuring documents are accurate and well presented
Develop and maintain administrative SOPs (standard operating procedures)
Implement strong reporting systems that cover key aims of the program
Assist with advanced planning to ensure key deadlines are met
Identify and initiate additional tasks as they become obvious
2. Provide exceptional customer service
Maintain a high level of customer service to core ProsTIC team and wider staff within Cancer Imaging
Manage records and set up systems to streamline accessibility
Consistent demonstration of a commitment to improve services and processes
3. Support the work of the team and department
Work cooperatively as part of the team and assist other areas and staff as necessary
Develop consolidated reports and provide to program manager
Ensure financial reporting is coordinated across multiple projects
Monitor ongoing expenses against allocated budget
Provide high level administrative support to Director and Program manager
Involvement in high level report writing
Involvement in intranet and website maintenance and development
Other tasks as directed by your manager
Approach work in a flexible and collegiate way responding to changes in a proactive manner
4. Stakeholder management
Ensure communications are directed appropriately
Build and maintain relationships with key internal staff and external providers cooperatively with other departments to obtain assistance and/or influence others in the achievement of set objectives
