About the Role

As a Casual Administration Officer, you’ll provide essential administrative support across multiple departments within the hospital. This is a varied and dynamic role where no two days are the same.

 

You will be expected to manage multiple tasks simultaneously, ensuring that work is completed accurately and efficiently, even when the environment becomes fast-paced or unpredictable. Your ability to stay calm under pressure will be key, as hospitals are high-demand settings where timely and precise administrative work can directly impact patient care and departmental operations.

 

Flexibility is another essential aspect of this role. You may be called upon to step into different departments or teams at short notice, helping out wherever support is needed most. This could include anything from scheduling appointments, handling correspondence, maintaining records, assisting staff with administrative processes, or coordinating internal communications.

 

What We’re Looking For

We’re seeking candidates who bring:

 

• Excellent customer service skills and a positive, proactive attitude

• Strong adaptability and the ability to learn quickly in changing environments

• Availability for a minimum of three days per week (Monday–Friday)

• Previous hospital administration experience (preferred)

• Experience with patient booking systems (highly regarded)

• Confidence learning and working with new computer systems

• Experience with EMR systems, particularly EPIC (highly desirable)

1. General Clerical/Reception Support

  • Telephone calls are made and dealt with promptly and appropriately
  • Maintenance of data entry
  • requirements for patient computing systems
  • Mail receipt and dispatch
  • Greeting visitors and practitioners to the department and directing

  • Generating patient reports as required
  • Directing patient enquiries to the appropriate nurse
  • Directing information pertaining to clinical issues to the appropriate
  • clinical practitioner
  • Communicating with clinical staff promptly and accurately
  • Appointment scheduling for treatments, reviews and
  • investigations
  • Liaising with the Nurse Manager or Associate and Patient Services
  • Manager to co-ordinate admissions discharges and transfers.
  • Clerical Support to unit meetings
  • All telephone calls answered in a timely manner and dealt with appropriately
  • All daily data entry requirements completed
  • All mail received, dispatched daily
  • All visitors to unit greeted and directed appropriately
  • All required patient reports, or statistics required generated in a timely manner
  • All patient enquiries directed to appropriate personnel
  • All communication with clinical staff prompt and accurate
  • All requested appointments made in a timely manner and notifications sent
  • All bed transfers, allocations and discharges communicated adequately
  • All staff meeting minutes are recorded and documented

2. General Admission Support

  • Completing Patient Admission and Discharge procedure and entering data into hospital information
  • system
  • Maintaining office stock levels and ordering as required
  • Maintenance of office area and equipment
  • Reporting of faulty equipment and defects to Nurse Manager
  • Communicating with Nurse Manager re issues or concerns pertaining to the effective management or safety of the work area
  • All hospital patients admitted and data entered into Hospital Information System
  • All reports and documents prepared as requested by staff completed
  • Clinical Units administrative stock levels are appropriate to utilisation and ordered accordingly
  • Office area and equipment is maintained in good working condition
  • All faulty equipment and defects are reported to Nurse Manager
  • All issues or concerns pertaining to the effective management or safety of the work area communicated to a Nurse Manager within 24hours
