The Peter MacCallum Cancer Foundation is the fundraising arm of Peter Mac. While our internationally recognised cancer researchers have great success securing competitive project grants, these grants rarely fund new innovative projects or the state-of-the-art technologies and resources needed to undertake these research projects. Funds raised by the Foundation give some of the brightest minds in cancer research the specialised technologies they need to make important new discoveries.

Business Support Officer - Foundation
Ongoing, Full-Time Role (80 hours per fortnight)
The Business Support Officer will report to the Business Manager and will be responsible for providing administrative and operational support to the Business Administration team. This role will ensure the efficient functioning of various business processes, support supplier management, and contribute to financial and contract-related tasks. The Business Support Officer will also help reduce legal and regulatory risks through effective tracking and management of compliance requirements.
Remuneration as per Health and Allied Services, Managers and Administrative Workers (Victorian Public Sector) (Single Interest Employers) Enterprise Agreement 2021-2025 from HS Grade 4 Year 1 (HS4) $83,657.60 per annum (full-time equivalent), dependent on candidate experience. To be discussed with Hiring Manager.

Skills
Essential requirements | Experience: • Degree in business, commerce, or similar • Minimum three - five years’ experience in a similar business administration role • Experience in contract management, including review, negotiation, and compliance. • Demonstrated ability to manage and analyse financial data, perform bank reconciliations, and prepare reports. • Familiarity with risk management practices and legal compliance, particularly in contract and supplier management. Skills: • Excellent written and verbal communication skills for report writing and stakeholder management • Excellent analytical skills • Knowledge of supplier management processes and the ability to implement and maintain risk management frameworks. • Ability to handle sensitive information and manage compliance documents to mitigate legal and regulatory risks. • Displays initiative • Strong attention to detail • Proactive approach to problem solving • Good time management skills |

1. Supplier Management |
• Coordinate the supplier management process, including procurement and due diligence, in line with agreed policies and procedures. |
2. Policies and Procedures | • Coordinate review and update of all existing Foundation policies, procedures, and process documents. • Create and manage a central repository for policies, procedures, and process documents, and embed appropriate review cycles. • Identify gaps in Foundation processes where policy and procedure documentations are needed, and collaborate with relevant stakeholders to develop the necessary policies and procedures. • Foundation-wide training of Policies & Procedures. |
3. Risk & Compliance | • Undertake and manage Personal Identifiable Information (PII) attestations for current and previous suppliers every 12 months. • Review and ensure compliance with all relevant contracts, Memorandum of Understanding (MoUs), and Service Level Agreements (SLAs), including supplier management and internal agreements. • Assist in ensuring compliance with legal, regulatory, internal policies, and risk management framework. |

4. Finance & Operations | • Provide backfill support to the Administration Officer when needed, including bank reconciliations, invoicing, off-site archiving, and staff onboarding/offboarding requirements. • Implement and provide ongoing delivery of reconciliation between CRM and financial software (Magiq). • Create, implement, and socialise ticketing system to streamline Business Administration requests. • Support the budgeting and forecasting processes by analysing financial data, identifying trends, and providing insightful commentary to support decision-making. • Provide support for continuous improvement activities relating to Business Administration processes. • Provide support in documenting Business Administration process to aid knowledge transfer. • Provide support for the annual financial audit process. • Provide support to the annual Foundation Grants process. |
5. Other Duties | • Understands and complies with all relevant legislation and Peter MacCallum Cancer Centre and Peter MacCallum Cancer Foundation policies, procedures and legislative requirements. • Attends, participates and contributes to relevant professional development and training opportunities. • Support the fundraising team during functions or events if/when required. • Undertake other duties, which are appropriate to the level of the position. |
